We follow guidance given by the British Aikido Board our National Governing Body.

The BAB have published their GDPR compliant Data Protection policy along with other advice.


Membership Forms (APP1)

The Members Application Form is a two part form covering a number of areas of personal data. It deals with a Data Protection statement that personal data which is being shared by the Club with Lancashire Aikikai. (Our Association)

The Club Safeguarding Form which asks you to provide additional information to protect participants.  A health disclosure with an explanation about why it's being collected is and an acknowledgement and consent for the provision of this health data to be held.

There is an acknowledgement that Aikido is a martial art.

The Club Marketing Questionnaire is localised by each Club recording how the new starter found the Club.

Different formats are available to enable the club to prepare its own policy and variation if required. (docx and pdf). A zipped file of the docx is available.

Recent updates are marked to indicate the changes made.

Additional Membership Form
Child Protection Form CP-1

To be completed by parents/carers of anyone under 18yrs old this form seeks additional consent for:

  • for pick-up; a list of adults who may pick up;
  • stand in for a parent in a health emergency.
  • for taking / restriction of photographs.

(Note: This form was developed by a club from November 2023 and it does not reflect the changes made in 2025 on this topic on the Membership Form and the Additional Application form for those who are under 18. Follows recommended best practise of the BAB, and Safeguarding Mark for Martial Arts and its predecessor ClubMark that was withdrawn in 2019 :-   

  • where it is suggested you provide extra information such as contact details. Trafford Club developed an information booklet for the under 18s' participants and information for their Parents.

  • where additional consents were needed.)

Privacy

The Lancashire Aikikai's Privacy Notice has been extended to obtain permission of members when they first join, to use their data and images etc for our publicity. Links to this Notice appear on the Members home page and the Data Protection page that you are currently on.

Club Privacy Notices

Clubs' own Privacy Notices should follow the change by downloading the new template. Formats of docx and pdf are available.


Where a change has been made the inserted text is highlighted which will enable to identify the change quickly.


All Clubs MUST have their own Privacy Notice / statement. Under the GDPR each club is treated as a 'Data Controller', responsible for the member data it uses. Therefore each club should be in possession of a Privacy Notice, and draw their club members' attention to it.

Rather than leave this solely in the hands of clubs to sort out for themselves, the Aikikai's Data Protection Coordinator issued a template document for Clubs to adopt.

We suggest downloading this generic statement as a starting point and completing the template any text in red – i.e. personalising details.

It is for each club to take a decision on whether to use this recommended template. Clubs should add any variations that are particular for them (Localisation).

Caution should be exercised if you are intending to remove something in the template. It is recommended you seek the advice from the Association DPO before alterations are made.
